Volume Reach

Podio

Keep Podio as your system of record for ad leads. When an item reaches the stage you care about (for example Transactions), push it into Volume Reach with its address and stage, and let Volume Reach save it, place it on a pipeline, and run an automation.

1. What you get

Every item you push becomes a contact in Volume Reach immediately, with:

  • the property address you send (address in the payload),
  • the Podio stage as a tag (tags in the payload), so an Automation with the "Tag added" trigger can act on it,
  • the pipeline stage you chose when you connected Podio (Where should these leads land?), so it also shows on that board,
  • and, only if you asked for it, an AI call within seconds (Call these leads automatically? — defaults to No for Podio, because dispo leads already went through your process).

2. Connect Podio (2 minutes)

  1. Go to Automation → Lead Sources and open the Podio tile.
  2. Answer Where should these leads land? — Contacts only, or pick a pipeline stage.
  3. Answer Call these leads automatically with your AI agent? — leave No unless you want every pushed item dialed.
  4. Click Generate API key and copy the key. It is shown once.
  5. The next screen tells you exactly what will happen when a lead arrives, and offers Build an automation for these leads.

You can change the landing stage and the auto-call choice later under Settings → API keys.

3. Wire the push

Volume Reach receives a plain HTTPS POST at:

POST https://api.volumereach.com/api/v1/leads/inbound
Authorization: Bearer <your API key>
Content-Type: application/json

Body (map your Podio fields onto these keys):

{
  "phone": "+15125559871",
  "source": "podio",
  "externalLeadId": "<Podio item ID>",
  "firstName": "Carlos",
  "lastName": "Mendez",
  "email": "carlos@example.com",
  "address": { "line1": "4821 Oak Creek Dr", "city": "Austin", "state": "TX", "zip": "78745" },
  "tags": ["Transactions"]
}
  • phone and source are required. Use podio as the source.
  • externalLeadId = the Podio item ID. A re-fired flow never creates a duplicate.
  • address.line1 is what makes the address count; city, state, zip are optional.
  • tags = the stage name (or anything else you want to filter by).

Path A — Podio Workflow Automation (Premium plans)

  1. In your Podio app, open Workflow Automation and create a flow: When an item is updated.
  2. Add a condition: Category / Status equals the stage you want (e.g. Transactions).
  3. Add the action Remote HTTP Call — method POST, URL above.
  4. Under Headers add Content-Type: application/json and Authorization: Bearer <your API key> (one per line).
  5. Paste the JSON body above and replace the sample values with Podio tokens.
  6. Save, then move one real item into the stage.

Podio Workflow Automation cannot sign requests, which is why the Podio key is created without a signature requirement.

Path B — Zapier (any Podio plan)

  1. Trigger: Podio → Item Updated on your app.
  2. Filter by Zapier: your status field (Text) exactly matches the stage name.
  3. Action: Webhooks by Zapier → POST, URL above, Payload Type JSON, the body above, and a header Authorization: Bearer <your API key>.
  4. Test the action with a real item.

Zapier polls Podio, so expect a few minutes of delay. Zapier's free tier covers about 100 pushes a month.

4. Check it landed

Open Automation → Lead Sources → Recent Inbound Activity. Within seconds you should see a row for the item with Accepted (or Saved, not called when auto-call is off) and a View contact link. The contact shows the address, the tag, and — if you chose one — the pipeline stage.

Leads that were saved but not called are also listed under Leads → Not called yet, with the reason.

5. Decide what happens next

Anything beyond saving the contact is an Automation (Automation → Automations → New):

  • Describe it in plain English, for example "When a lead comes in from Podio, tag it Transactions, move it to the Under Contract stage, and email me." The builder drafts it using your real stages, tags and lead sources, and tells you what is left to finish.
  • Or start from the trigger "A new lead arrives" → Only from: podio, and add steps: send a text, wait, AI call, move stage, add tag, create task, notify you by text or email, send to your CRM or webhook.
  • The "Tag added" and "Moved to a stage" triggers also fire for pushed items, so you can key an automation off the Podio stage instead of the source.
