Inbound Webhook
For any lead vendor whose setup screen is just one URL box — no API key, no code, their own field names. Paste the URL in, send a test lead, and Volume Reach shows you how it matched before you go live.
1. What you get
- A private webhook URL, built for this one vendor connection, that works no matter what field names the vendor sends.
- Volume Reach reads the incoming fields by name and tries to match phone, name, email, address and an id automatically.
- Every accepted lead becomes a contact immediately, placed wherever you chose — a pipeline stage, or Contacts only.
- An AI call within seconds, if you turned that on.
- One connection per vendor tile, each counted toward the 5 active API keys your account can have.
Is my vendor a fit?
Fits: your vendor's setup screen only asks for a URL to send leads to — no box for an API key or extra settings, nothing to set up beyond pasting a link.
Not needed: if your vendor has a box for an API key, or already has a dedicated guide — see Zapier, Go High Level, HubSpot or HubSpot Free — use that guide instead.
2. Connect your vendor (2 minutes)
- Go to Automation → Lead Sources and open the Inbound Webhook tile.
- Answer Create an opportunity for each new lead? — No saves each lead as a contact; Yes also puts it on the pipeline stage you pick.
- Answer Call these leads automatically with your AI agent?
- Click Get my webhook URL and copy it.
- Paste it into your vendor's webhook / URL / "post leads to" box, then send a test lead from their side.
3. Check it landed
Within a few seconds the drawer shows the lead it received, and how its fields were matched — Phone ← "Primary Phone", Lead ID ← "Lead ID", plus name, email and address, whatever the vendor sent.
If it looks right, click Looks right — go live.
If the phone wasn't found by name, a mapping table opens. Pick which field is the phone — that one's required, everything else is optional. Anything the vendor sent that isn't mapped is still saved, on the lead's page.
4. Decide what happens next
Leads that arrive before you go live are kept until you go live (up to 500). At go-live, tick which ones to import. Any you don't import are deleted 14 days after you go live.
- The first lead received starts unticked and is labeled "test lead? Tick it if it's real", because vendor test leads often carry a fake number. If it was a real lead, tick it.
- "Call these leads now" starts ticked when the connection calls automatically, unless you import more than 20. Calls go out at your new-lead call limit (5 an hour unless you changed it), and new leads wait behind these. A lead that isn't called within 24 hours of arriving is not called at all, so for a big list, leave this off and call them from a campaign.
From here, anything beyond saving the contact is an Automation (Automation → Automations → New) — describe it in plain English, or start from the "A new lead arrives" trigger filtered to this source.
Afterwards, the drawer shows your URL, Edit mapping, New URL (the old URL stops working at once — paste the new one into your vendor), and Remove connection.
Keep the URL private. Anyone who has it can send you leads, though it can't read anything in your account. If it gets out, click New URL. Each URL also takes at most 20 leads a minute and 300 an hour.
5. Troubleshooting
| You see | It means | Fix |
|---|---|---|
| Needs attention on the tile | A live lead arrived with the phone field empty, or with something that isn't a phone number | Open the tile. Under Mapping, pick the field that holds the phone, then click Save and re-run N failed leads. If the vendor sent the lead with no phone at all, there is nothing to fix: it can't be called |
| No test lead shows up | The vendor never reached the URL, or you pasted an old one | Open the tile and copy the URL again and paste it into the vendor's webhook box |
| Vendor says the URL failed or is "down" | Some vendors check the URL before saving it | Volume Reach answers that check. If it still fails, the URL was probably cut off: open the tile and copy it again with the copy button |
| "This URL was replaced or removed" | You're using an old URL — either rotated with New URL, or the connection was removed | Open the tile and copy the current URL |
| A failed lead is gone from Save and re-run | It failed more than 14 days ago | Failed leads are kept 14 days. Leads you didn't import at go-live are deleted 14 days after you went live |
