Volume Reach

CRM Essentials

The CRM add-on turns Volume Reach from a texting and calling tool into the place you run deals: pipelines, tasks, bookings, custom fields, tags, a full timeline and automations.

Overview

The CRM is a $50/mo add-on to any feature. It is included free on yearly plans with two or more features, and it is part of the Scale bundle. Everything below needs the CRM; the texting and calling features work without it.

If the CRM lapses, your pipelines become read-only. Nothing is deleted, and everything comes back when you add it again.

What's included

Pipelines and opportunities

Promote a contact into an opportunity and move it through stages on a board. You can run more than one pipeline — for example one for sellers and one for buyers — each with its own stages. See Managing Opportunities.

Tasks

A Tasks page lists what is due today, overdue and upcoming. Create a task by hand, from a call outcome, from an automation step, or by asking the AI assistant. Tasks link back to the contact so you land on the right record when you open one.

Calendar bookings

Set your working hours and the AI texting agent offers real openings from your calendar — up to three at a time, within the next 14 days — when a seller wants to talk. Bookings get reminder texts, and a seller can reschedule from the reminder. Your appointments show on the Calendar and on the contact.

Custom fields

Add your own fields to contacts — a lockbox code, a lead source name, an ARV — and use them as merge tags in texts and templates, exactly like first name. See Contact Fields.

Tags

A managed tag list keeps your tags consistent: pick from the catalog instead of retyping variants. The AI adds its own intent tags to inbound texts (Sent address, Not interested, Asked for offer, Has property, Wants callback), and a tag being added can start an automation.

Activity timeline

Every text, call, recording, summary, contract, task, stage move and note on a contact appears in one timeline, newest first, so anyone on your team can pick up a conversation cold.

The contact page

One page per contact with the conversation on one side and the record on the other: a map of the property, the phone numbers with their status, and an offer calculator that works from ARV, your percentage rule, repairs and your fee. Work one number at a time without losing the thread.

Automations

Describe what you want in plain English and Build with AI writes the automation; edit it the same way. Automations start when a new lead arrives, a contact replies, a contact moves to a stage, a tag is added, an opportunity is created, or a blast finishes (a follow-up sequence). Send controls decide when steps go out — right away, or only during your business hours — and from which number. See Triggers.

Mass texting and AVA

Blasts, drips and scheduled sends are part of the CRM, and so is AVA, the AI analyst that reads across your calls and texts and tells you what is working.

Tips & Best Practices

  • Start with one pipeline. Add a second one only when a different kind of deal needs different stages.
  • Set working hours first. Calendar bookings and the AI agent's offered times both depend on them.
  • Let Build with AI draft automations. Describe the outcome you want, then tidy the steps; it is faster than starting from a blank canvas.
  • Use custom fields for anything you repeat in texts. If you keep typing the same detail, make it a field and a merge tag.
