4. AI Processing of Data

The Service uses artificial intelligence to provide its core features. This includes:

  • Voice Synthesis: AI generates natural-sounding voice for outbound calls based on your configured agent settings
  • Speech-to-Text: Real-time transcription of call audio using third-party speech recognition services
  • Language Model Processing: Call transcripts are processed by large language models to generate contextual responses and determine call outcomes
  • SMS AI Replies: AI may generate suggested or automated replies to inbound SMS messages based on your configuration

AI processing is performed solely to provide the Service to you. We do not use your call content, transcripts, or campaign data to train AI models. Third-party AI providers process data under contractual obligations that prohibit use of your data for their own training purposes.

5. Information Sharing and Disclosure

We do not sell your personal information. We may share your information with:

  • Service Providers: Third-party vendors who help us operate the Service, including Twilio (telephony and SMS), LiveKit (real-time voice AI infrastructure), Stripe (payment processing), OpenAI and Deepgram (AI processing), and cloud hosting providers (Google Cloud Platform)
  • Telecom Partners: Phone number provisioning data, caller ID verification, and A2P registration information shared with telecommunications carriers as required for service delivery and regulatory compliance
  • Legal Compliance: When required by law, regulation, subpoena, court order, or other legal process, or when we reasonably believe disclosure is necessary to protect the rights, property, or safety of Sun City Systems LLC, our users, or the public
  • Regulatory Authorities: In response to inquiries from the FCC, FTC, state attorneys general, or other regulatory bodies
  • Business Transfers: In connection with a merger, acquisition, reorganization, or sale of assets, your information may be transferred as part of that transaction
  • With Your Consent: When you explicitly authorize sharing

6. Data Storage and Security

We implement industry-standard security measures to protect your data, including encryption in transit (TLS) and at rest, access controls, and regular security assessments. Your data is stored on secure servers hosted by reputable cloud service providers in the United States. While we strive to protect your information, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

7. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. After account termination, we retain your data for 30 days before permanent deletion. We may retain certain data longer if required by law, regulation, or legal process, or for legitimate business purposes such as resolving disputes, enforcing our agreements, or maintaining compliance and audit records. Consent acceptance records and compliance-related logs may be retained for the duration required by applicable telecom and consumer protection regulations.

8. Call Recordings and Transcripts

If you use our AI calling features, call recordings and transcripts are stored securely and are accessible only to you through your account. You are responsible for complying with all applicable laws regarding call recording, including obtaining any required consent from the parties being recorded (including two-party consent states). We do not access or use your call recordings for any purpose other than providing the Service to you, except as required by law or to respond to legal process.

9. Cookies and Tracking

We use cookies and similar technologies to maintain your session, remember your preferences, and analyze how the Service is used. You can control cookie preferences through your browser settings. Disabling cookies may affect the functionality of the Service.

10. Your Rights

Depending on your location, you may have the following rights:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request correction of inaccurate or incomplete data
  • Deletion: Request deletion of your personal data
  • Portability: Request your data in a portable format
  • Objection: Object to certain processing of your data
  • Restriction: Request restriction of processing in certain circumstances

11. California Privacy Rights (CCPA/CPRA)

The Service is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected personal information from a child under 18, we will take steps to delete that information promptly.

15. International Data Transfers

The Service is operated from the United States. If you access the Service from outside the United States, your information will be transferred to, stored, and processed in the United States. By using the Service, you consent to such transfer and processing.

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the Service at least thirty (30) days before the changes take effect. The "Effective Date" at the top of this page indicates when this policy was last updated. Your continued use of the Service after changes constitutes acceptance of the updated policy.
