Volume Reach/Docs

Contacts

Your prospect database — the people Volume Reach will reach out to on your behalf.

Overview

Contacts are at the heart of every campaign you run on Volume Reach. Each contact represents a prospect or lead in your database, and every outbound call, text message, or voicemail drop targets the contacts you assign to a campaign.

Before launching a campaign, you need at least one contact loaded into your account. Volume Reach gives you straightforward tools to get your list in, keep it organized, and track every interaction over time.

How It Works

Each contact record stores the information Volume Reach uses to reach out and log results:

Name

First and last name, used to personalize AI-driven conversations.

Phone Number

The number your AI agent or human dialer calls or texts. This is the only required field.

Email

Optional, useful for your own reference or future email outreach.

Address Fields

City, state, and zip — optional location fields handy for geographic targeting or personalization.

Custom Fields

Additional data from your own systems, such as a loan amount, property type, or lead source.

Once contacts are in your account, you assign them to campaigns. A single contact can appear in multiple campaigns, and Volume Reach tracks the outcome of every interaction separately for each campaign.

Getting Contacts In

The primary way to add contacts is by uploading a CSV file — a spreadsheet export that maps your columns to Volume Reach fields. See CSV Upload for a step-by-step walkthrough.

Reviewing and Managing Contacts

After import, you can search your contacts, view their full interaction history, edit their information, and remove them from campaigns. See Managing Contacts.

Tips & Best Practices

  • Clean your list before uploading. Remove duplicates and verify phone numbers are active. Disconnected numbers waste dial attempts and inflate your costs.
  • Include first names when possible. The AI agent uses the contact's name to open conversations naturally. Unnamed contacts receive a generic greeting.
  • Segment by campaign. Rather than uploading one giant list, break contacts into focused groups — one campaign per audience segment — so you can tailor messaging and track results independently.
  • Keep lists current. Contacts who have asked not to be called should be removed promptly. Volume Reach honors do-not-call requests automatically when flagged, but your source data is your first line of defense.
