Creating a Voice Agent

Build a custom AI caller in minutes by writing its instructions, setting its greeting, and choosing its voice.

Overview

Every AI call in Volume Reach is powered by a Voice Agent you configure. The agent follows the instructions you write and uses the voice you select. You can create up to 10 agents per account, and one can be set as your default so it is automatically suggested when creating new campaigns.

How to Create a Voice Agent

Step 1 — Open the AI Agents section

From the main navigation, go to AI Agents and select Voice. This shows all your existing agents and a button to create a new one.

Step 2 — Click Create Agent

Select Create Agent in the top right corner. A configuration panel will open.

Step 3 — Name your agent

Give the agent a descriptive name so you can identify it later. For example: "Solar Qualifier," "Real Estate Follow-Up," or "Insurance Outbound."

Step 4 — Write the system prompt (instructions)

The system prompt is the most important part. It tells the agent who it is, what its goal is, and how to handle the conversation. Write it as a set of instructions in plain English.

A strong system prompt typically includes:

  • Who the agent is. "You are Alex, a representative for Sunrise Solar calling homeowners who requested a quote."
  • The goal of the call. "Your goal is to qualify whether the homeowner owns their property and is interested in a free solar assessment."
  • How to handle common situations. For example: what to say if someone asks for a callback, what to say if they are not interested, or how to respond to common objections.
  • Tone and style. "Be friendly and conversational. Keep responses concise — no longer than two or three sentences."

Step 5 — Set the opening greeting

The greeting is the very first thing the agent says when someone picks up. It should be brief, identify who is calling, and invite the contact to engage.

Example: "Hi, this is Alex from Sunrise Solar — is now a good time to chat for just a minute?"

Step 6 — Choose a voice

Select the voice your agent will use. Volume Reach offers standard voices through Cartesia (included on all plans) and premium voices through ElevenLabs (higher quality, billed separately). See Voice Options for a full comparison.

Step 7 — Save the agent

Click Save. Your agent is now ready to be assigned to a campaign or tested in the Agent Playground.

Setting a Default Agent

If you use one agent for most of your campaigns, you can mark it as your default. Go to the agent's settings and toggle Set as Default. The default agent will be pre-selected whenever you create a new campaign, saving you a step each time.

Account Limits

Each Volume Reach account can have up to 10 voice agents. If you need to create a new one and have reached the limit, archive or delete an existing agent first.

Tips & Best Practices

  • Be specific in your instructions. Vague prompts produce vague conversations. The more clearly you describe the agent's role and goals, the better it performs.
  • Keep the greeting under 20 words. Long openings lose people fast. Get to the point quickly.
  • Anticipate objections. Include instructions for the two or three most common pushbacks your callers receive. For example: "If they say they're busy, offer to call back at a better time."
  • Use the Playground before going live. After saving, use the Agent Playground to have a practice conversation with your agent. Adjust the prompt until the responses feel natural and on-target.
  • Create separate agents for different campaigns. A solar agent and an insurance agent should have separate prompts tailored to each context.
